There are a lot of different reasons you may need to send PDF attachments to someone, like sending a proposal to a prospective client, an invoice to an existing client, newsletters or offers to your email list, and more. In all of these cases, it’s important to know exactly how your audience interacts with your PDF, and that’s where Mailsuite’s PDF attachment tracking comes in.
Mailsuite can alert you when someone opens an email attachment you send them. Not only that, you can also see how many times they opened your PDF attachment, whether or not they downloaded it, and how long they spent on each page.
Here’s how to send a tracked PDF attachment with Mailsuite:
Step 1: Attach your PDF to a new message in Gmail
1. On your computer, open Gmail in a browser that has Mailsuite installed.
2. At the top left, click Compose.
3. In the new email, click Mailsuite Settings, then click Document.
Alternatively, you can click the Attach file icon, then Add Document.
4. In the pop up, click Browse to select and attach your file.
In addition, you can configure the settings for your document. These include:
- Settings an expiration date for the recipient(s) to access your document
- Displaying a download button
- Adding a “Confidential” watermark
- Enabling page-by-page analytics
- Making your PDF document signable by the recipients
5. Once you’ve configured your settings and selected the document you want to attach, you can edit the link style if you wish. This includes changing the link text that appears in your email as well as choosing the appearance of the link: text link, link with icon, or a button.
6. After that, click Insert link to Document. This will insert a document link in the body of your email. It’s important to note that the file needs to be sent as a link. If you attach the file without completing the steps above, Mailsuite won’t be able to track when it’s opened.
7. Finish composing your email, and then click Send as normal.
How to tell when your PDF attachment has been opened
After you send your email, tracking data for both the email itself and your PDF document will be available in your Mailsuite Dashboard. You can also opt to receive email notifications when your email and/or your document are opened.
In the Mailsuite Dashboard, navigate to the Email tracking tab, then look in the Activity column to see an overview.
You can then click on the email to view more detailed tracking data, including when the email was open, when the document was viewed, if it was downloaded, how much time the recipient spent reading the document, and page-by-page analytics.
Mailsuite makes tracking your PDF attachments simple, efficient, and helpful. By using this data, you will ensure recipients receive and open your documents, and you’ll be able to communicate more effectively with them.
For example, if you see they’ve received the email but haven’t opened the attachment after a few days, you can send a follow-up email reminding them you sent it. Or if they open your document immediately but don’t respond to your email, you can reach out and ask if they have any questions about the contents of your PDF attachment.
