Sometimes a tracking report may show that a link in your email was "clicked" almost immediately after sending, that every recipient clicked a link at the exact same time it was opened, or that an email shows as opened and clicked even though the recipient replied with an out-of-office or auto-reply. Similarly, you may see multiple opens logged for a single email even though the recipient only viewed it once. This is usually not a glitch in the tracking service, but a known limitation shared across the email tracking industry.
Mailtrack tracks opens using a tiny, invisible tracking pixel added to your message: when the recipient's email client downloads this pixel, an open is registered. Similarly, links are tracked so that visiting them registers a click. However, in some cases these events aren't triggered by the recipient themselves, but automatically by their email client or security software:
- Some email services, firewalls, or antivirus software automatically scan and "click" links or download images inside incoming emails to check for phishing or viruses before the message reaches the inbox.
- Email apps (such as Superhuman) or CRM systems may automatically preload email content, including images and links, as soon as a message arrives, even if no one has actually opened or read it yet. This can also generate multiple opens in your tracking history.
- If the recipient uses a preview pane, the email and its images may be downloaded and displayed automatically, which can also log multiple opens without the recipient actively reopening the message.
- Some mobile email apps automatically pre-fetch or cache email content while syncing, which can also trigger open events.
This is also why you may see an email marked as opened and clicked at the same time a recipient sends an out-of-office reply: their system processed the message automatically without them reading it.
This kind of automated activity doesn't happen for every recipient or every email, so if you notice it occurring consistently across all your opens and links, it's worth keeping in mind that it may be caused by this kind of automated security or preload scanning rather than genuine recipient activity.
