Mailsuite makes it easy to send personalized emails to a group of people by using a process called mail merge. To personalize your message, you add placeholders (also called merge tags) where you'd like to insert your recipients’ data. The most common merge tags include first name, last name, company, job title and more.
To import your recipients' data into a mail merge with Mailsuite, you can use Google Sheets, a CSV file or Mailsuite Lists. However, sometimes you won't have all the data for every recipient, or there may be an error when importing your mail merge data.
For these cases, you can define a fallback text: a text that Mailsuite adds to your email when it can't find a value for a specific recipient.
How fallback text for mail merge works
Once you create a Mailsuite Campaign and import your recipients, write your email and click Add field to insert the merge tag you'd like to use. You can then define a fallback text for each merge tag by adding it after the tag.
For example, if you use the merge tag {{name}}:
Add a pipe character (“|”) after the field name, followed by your fallback text, for example {{name | there}}:
When you send the campaign, recipients with no value for {{name}} will receive the fallback text instead of a blank space.
For instance, a recipient whose name is Charles will receive an email with this greeting:
Whereas a recipient with no name in your data will be greeted like this:
If there's no value for a recipient and you don't define a fallback text, a blank space will be added to the email instead. It’s important to avoid this, as a blank space can make your email look unprofessional or even spammy. Check out Mailsuite’s blog to learn more about email deliverability best practices.
