Gmail will automatically populate everyone’s email addresses, and when you hit send, everyone will get the email.

With this organization, you won’t need to search through all your contacts for specific addresses whenever you need to communicate with specific segments of your contact list.

How to Create Email Groups in Gmail

Creating email groups in Gmail is a simple process, as follows:

Step 1: Open Google Contacts

Click the Google Apps icon at the top right end of a Google page. Scroll down the list of apps. Find and select Contacts.

Step 2: Create a Label

In the left sidebar of the page, go to the Label section and click the Create Label icon – the plus sign in front of Label.

Step 3: Name your Label

Enter a unique name for your label in the Create Label window that appears. Then, click Save.

Your newly created label will now be added to your list of labels in the left-hand pane of the Google Contacts page.

Step 4: Go to Contacts, Frequent, or Other Contacts

After you create a group, the next step is to add contacts. You start by going to where your contacts are saved. This would be in Contacts in the left-hand pane of the Google Contacts page. If you don’t have contacts saved, click Frequent to open the Frequently contacted page, which lists email addresses you frequently send messages to.

For a more holistic list, click Other contacts. This list includes all contact addresses that Gmail collects as you send and receive emails, allowing it to keep track of everyone you’ve ever interacted with via email.

Step 5: Select all the contacts you want to include

In your Contacts, Frequently contacted, or Other contacts page, find and select the contacts you want to add to your newly created label. Do this by hovering over the contact and ticking the selection box that appears on it.

Step 6: Add them to the newly created label

After selecting all the contacts you want to add to the label, click the Manage labels icon at the top right of the page. This opens a list of all your labels. Click the newly created label to which you want to add the selected contacts. Then, click Apply.

You’ll get a confirmation pop-up at the bottom of the page telling you that the selected number of contacts has been added to the specified label.

Note: You can create multiple Gmail groups using the above steps.

How to Use Email Groups in Gmail

Using an email or contact group in Gmail is also very simple. Follow these steps:

Step 1: Start a new message in Gmail

Open your Gmail account. Next, click the Compose button to start a new message.

Step 2: Enter your group name in the recipient’s field

Sending an email to Google Groups is similar to sending one to a single recipient. Start typing the name of the email group you want to message. Then, select the name from the pop-up list that appears.

Gmail will populate the email addresses of everyone in the email group in the To field.

Step 3: Set up your email

You can now add your subject line and email message to the body of the email.

Step 4: Review your email and send your email

Proofread your email to ensure it is free of errors. Then, click the Send button. Gmail will send the message to everyone in the email group you selected.

How to Create and Use Email Groups in Gmail with Mailsuite

When the Mailsuite List window opens, you’ll see that you don’t have any lists yet. Click the New list button at the top of the window to create your list. If you have created a Mailsuite list before, you’ll see all of them in this window.

Step 4: Create your Mailsuite List

In the New List window, enter a unique name for your contact list in the List name field, and enter the email address of individuals you want to add to the group in the Add contacts field.

As you add the contacts, Mailsuite displays the number you’ve added and whether there are any duplicates. After adding all the contacts you want to add to the group, click Create list.

Step 5: Edit relevant fields (Optional)

Mailsuite will automatically create your list or email group with three fields: email, greeting name, and full name. However, remember that you entered only your contacts’ email addresses when creating the list.

Mailsuite uses the email data to automatically populate the Greeting name and Full name fields, but always double-check these because you may need to update these fields manually. To edit them, hover your mouse over each contact and click the edit icon that appears. Then, enter the correct information for the contact and click the Save button to the right.

Step 2: Select the email group (Mailsuite list) you want to email

Click Send Email to open the Gmail compose window and set up your email.

Step 4: Set up your email

Enter your email subject line and the email message in the body of your email.

After setting up your email, proofread it to ensure it is error-free. When you are satisfied, click the Send button. Gmail will send the email to everyone on your Mailsuite list.
