How does email tracking work in a Campaign?
Campaign send limits and restrictions
What are Campaigns?
The Campaigns feature lets you send one email to many recipients from Gmail and track each recipient individually: you'll see who opened your email, who clicked a link and who viewed a PDF. Each recipient gets their own copy of the email, so nobody sees the other recipients.
You can send a campaign to up to 10,000 recipients. For large campaigns, use batch send to spread the emails over several days.
Sending campaigns from Gmail helps you get better open and reply rates, as well as personalize your follow-ups.
How to send a campaign
- In Gmail, click Compose. In the new message window, click Campaign, next to Cc Bcc.
- The compose window turns green to show that you're writing a campaign. Add your recipients in one of these ways:
- Type their email addresses in the Recipients field.
- Click Import recipients to load them from Google Sheets, a CSV file or one of your Lists. See Mail merge with Google Sheets and Mail merge with Lists.
- Write your subject and message. If you imported recipients, you can click Add field to personalize the email with their data, such as their name.
- Click Continue.
- The Mailsuite Campaign pop-up shows how many people will receive the campaign. Here you can:
- Check Include unsubscribe link to add an unsubscribe link at the end of your email.
- Click Check spam risk to review your email before sending it.
- Click Send preview to send a test copy to yourself.
- Click Schedule send to send the campaign later (see below).
- Optionally, open Advanced settings to choose which notifications you'd like to receive for this campaign (desktop notifications in the Notification column, email alerts in the Email column). All of them are off by default. You can also enter a Reply-to address if you want replies to go to a different email address.
- Click Send now.
Schedule a campaign
To send your campaign later, click Schedule send in the Mailsuite Campaign pop-up. In the Scheduled campaign window, you have two options:
- Single send: choose a date and time, then click Send single campaign. All the emails will be sent at that time.
- Batch send: send the campaign gradually, a set number of emails per day. Learn more in Campaigns batch send.
Scheduled campaigns appear in the Mailsuite Scheduled folder in the Gmail menu, and in the Scheduled tab of the Campaigns section of your dashboard.
How does email tracking work in a Campaign?
When you send a campaign, a tracked copy of your email is sent to each recipient. When a recipient opens their copy, clicks a link or views a PDF, you'll receive the notifications you chose in Advanced settings. You can see the results for each recipient in the Campaigns report.
What appears in your Sent folder?
By default, only one copy of the campaign appears in your Gmail Sent folder, marked with a megaphone icon, and the individual copies are moved to Trash. Any replies to your campaign create a new email thread with that recipient.
If you'd rather keep every individual copy in your Sent folder, turn off this option: in your dashboard, click the gear icon at the top right to open Settings & account, click Gmail and switch off Sent Folder: Displays only one copy of the sent campaign. You can also go straight to your Gmail settings. Learn more in Why are my campaign emails moved to Trash after sending?
What do recipients see?
Recipients can't see the other recipients of your campaign. In the email they receive, they only see your contact details and their own email address in the To field.
Cancel a campaign
⚠️ You can only cancel emails that haven't been sent yet. Emails already sent can't be recalled.
Cancel a scheduled campaign
- In your dashboard, open Campaigns and click the Scheduled tab.
- Hover over the campaign and click Cancel schedule.
- Click Yes, cancel schedule. The campaign won't be sent and is saved in the Drafts tab.
Stop a campaign that's being sent
You can also stop a campaign that's in the process of sending, for example a batch campaign. Open Campaigns in your dashboard, select the campaign and click Abort sending at the top of the campaign page. The emails that haven't been sent yet won't be sent.
Campaign send limits and restrictions
Please bear in mind that you're sending emails from your personal email account and not a dedicated email marketing tool. If you go over Gmail's send limits or Gmail decides that you're sending spam you could end up having your email account restricted or even blocked completely.
To avoid problems, we recommend following the usual email best practices.
If you send unsolicited emails to dozens of people at a time using Campaigns it is likely that quite a few of those people will mark your emails as spam, and that Google will take anti-spam measures against your account.
Campaigns is a personal emailing tool and isn't a substitute for dedicated email marketing tools that can send email marketing campaigns to 10000's of people.
Your plan's monthly recipient allowance vs. Gmail's daily sending limit
Your plan includes a monthly recipient allowance for Campaigns. This is the number of recipients the Mailtrack Campaigns feature supports per month and is separate from any limits imposed by Gmail itself.
Gmail enforces its own daily sending limit on every Google account, and this limit applies regardless of your plan. Free Gmail accounts have a lower daily sending limit than Google Workspace accounts, which have a higher daily sending limit. Mailtrack cannot increase or bypass Gmail's sending limits.
If you reach Gmail's daily sending limit, you will see an error and will be unable to send further campaign emails until the next day. If you need a higher daily sending limit, you will need to use a Google Workspace account.
